Background
A 40 years old Oil & Gas client through new projects needed to merge legacy assets & its new facilities’ Information within their existing systems. A scalable solution is required to process large volumes of information in integrated standardized environment.
Challenges
The client’s legacy systems to be replaced with scalable solutions, new information standardization should be established to improve the information quality and integrity.
Solutions
The client partnered with Hive experts to assess the as-is situation and advice on the best practices for the to-be solution. The new solution will include integrated modules for managing technical Documents, Data and models from different authoring tools (i.e. AutoCAD, SPI, PDMS…etc.), Asset Information Management, and integrated with SPIR , SAP Material Management and Commissioning system, as well establishing the information management governance framework as the first phase of the digital twin implementation, with future expansion phases to include operation’s modules.
Hive experts have provided the following solutions:
- Established with the client SMEs the plant breakdown structure across many applications as part of the new solution.
 - Establish the required different classes on the new solution; i.e. Site, Plant, Area, Tags, Documents, FLOC (Function Location), Purchase order, Equipment, Model Part, different relationships…etc.
 - Hive experts provided a systematic approach to standardize the rules for Asset Tagging, Document Numbering, define the reference documents and build the relationships for easy retrieval, data validation rules to be defined and put in place to ensure data correctness, completeness, integrity and consistency.
 - Established documents taxonomy, classification, numbering and revision scheme on the new solution.
 - Established tagging numbering scheme on the new solution.
 - Auto-Extraction and classification of tags from legacy systems.
 - Auto-Extraction of documents and its metadata from legacy systems.
 - Migration and loading of Sites, plants, areas, tags, documents, FLOCs, purchase orders, model Part, relationships and metadata…etc. into the new solution.
 - Ensured information consistency between different systems; i.e. Master tag registry and commissioning and maintenance systems.
 - Established PowerBI dashboards connected to all systems to ensure data integrity.

Results
- 15 million records of engineering data, documents, relations and metadata were migrated with the following benefits:
 - 27% more tags identified to improve completeness of asset tag registry.
 - 100% improvement in tag to document relationships as it was not available before the implementation.
 - Saving 35% of engineers time spent in searching for information.
 - Tag data was improved by 40% as it is part of the contractor and vendor requirements (CDRL & VDRL)
 - Improved the management of controlled engineering records, concurrent engineering, MOC and as-built revisions.
